If public health or other issues impact Utah Valley University, these fairs may transition to virtual only.

Arrival and Set Up. For on-campus events, be sure to arrive at least 30 minutes prior to the event. Keep in mind that it will take approximately 10 to 20 minutes for us to usher you from the parking garage to the venue. Please have your booth ready at the beginning of the event.

Departure for Student Recruiting Events. At Part-Time Job Fairs and the Professional Sales Fair, recruiters are not permitted to remain on campus after the designated ending time.

Late Arrival. Your booth reservation will be honored until 15 minutes after the start time of the event. If you do not arrive by that time, and we have not heard from you, your booth may be offered to another organization on our wait list. However, if you have a last-minute emergency, please notify us by calling 801.863.6364 and we will be happy to hold your booth.

Extra Lunches Extra lunches for all types of career & internship fairs are available at an additional charge of $30 but must be ordered at least fourteen (14) days in advance. No extra lunches, if available, will be provided for student fairs and program-specific fairs.

Parking

Main Campus

All event parking on the Main Campus is in the UVU Parking Garage. Once you reach UVU Main Campus, the Parking Garage is on the north side of campus between the Student Center and the Church of Jesus Christ of Latter-day Saints Institute Building.

  • The Parking Garage has 6 levels. Prior to each event, an Event Information email will be provided to you which includes instructions on which of the levels you will meet Career & Internship Center representatives who will be available to assist you and answer any questions you may have.
  • If you arrive early and do not see a Career & Internship Center representative, please call 801.863.6364 and let us know you have arrived. The receptionist will arrange for someone to join you in the Parking Garage to provide assistance.

West Campus

Park in any space directly in front of the HP Building (Health Professions Building).

Culinary Arts Institute

Park in any space on the east side of the building.

UVU Aviation Hangar

Park in the lot on the east side of the building.

Number of Vehicles Allowed ONE (1) VEHICLE PER ORGANIZATION is included in your registration for all fairs. The Career & Internship Fairs Premium Package covers two (2) vehicles. At many of our recruiting events, we have reserved specific floors of the Parking Garage. Please make sure you park only on the reserved levels/stalls. Because we have reserved parking space in the Parking Garage for this event, tickets issued for parking in other lots on campus will not be covered.

Additional Vehicle Parking is Available in the Parking Garage.

Any additional vehicles will still park in the Parking Garage but will be responsible for their own parking at $1 per hour.  Additional vehicles will use Passport Parking which is a pre-paid online service.  Instructions are available in the Parking Garage and are paid through the Passport Parking app.

Please Arrive Early. There may be other events on campus that may make parking more difficult. If there is another event, and the Parking Garage is filled, you are welcome to park in student parking and then call our main number 801.863.6364.

Booth and Facilities Details

Number of Recruiters at Each Booth.

At hallway recruiting events, only two (2) recruiters may be at your booth (in front or behind) at any given time. Employees who are answering email or working behind your booth are included in this number. Rotating Recruiters will be limited to only four (4) recruiters total throughout the entire event.

  • Professional Sales Fair – Two (2) Recruiters Allowed at the Booth

At career & internship fairs in the Grand Ballroom, the number of recruiters allowed at your booth is based on the Package you select. Up to six (6) recruiters may be at your booth, but four (4) or less is preferred.

At student hallway events, student employees may not “hang out” at your booth unless they are one of the two (2) attending recruiters.

Tablecloths. The Career & Internship Center is committed to doing our part to preserve natural resources and we are “going green”. As a result, we do not provide tablecloths, but will have a few extra available if needed, on a first-come, first-served basis.

Booth Size.

  • Your booth space consists of one table and two (2) chairs at your booth.
  • Your table size is 6 feet wide and 3 feet deep.
  • If you are interested in using a table other than the one included, please notify our team immediately upon arrival so we can remove the table provided.

Banners and Displays

  • We appreciate you keeping your display very close to the 6-foot width of your table. You are welcome to put banners behind your booth or on top of your table, but please assist us in making the event a pleasant experience for all recruiters by not blocking space between booths or exhibiting a large display that extends into another booth space.
  • Career & Internship Fairs & STEM Career & Internship Fairs. If you arrive with a display that is too long, you may be asked to take it down.
  • Your display items may not extend into the hallway or aisle beyond the depth of the tables provided.
  • No tents, canopies or inflatable displays are permitted.

Number of Chairs. At all fairs, you will have two (2) chairs at your booth for recruiters.

Games and Activities.

  • Activities or games must fit within your booth space and cannot extend into the aisle or hallway.
  • No balls of any type are allowed.
  • Activities may not interfere with recruiting activities of any other organizations surrounding your booth.
  • Drawings are allowed but any illegal activities such as lotteries are prohibited.
  • We encourage creativity with your booth display.  Using eye-catching items on your table is a huge benefit in this type of event.  Please do not use games, however, because students do not have time to spend on games.  Also, we do not allow balls at recruiting events.  For non-standard displays, please contact the Events & Marketing Manager, for approval.

Audio / Video Requirements. Video is allowed, but audio, including sound from displays, is not allowed. Please ensure that your displays conform to this policy. If you need electricity, be sure to let us know.

Electrical Access.  Access to electrical outlets is available depending on the venue.  We have a limited number of extension cords and recommend that you confirm electricity availability and that you also bring your own extension cord.  In addition, if electrical access is required, you must make that request when you register on Handshake. NOTE: Electrical access is not guaranteed.

Responsibility.  The employers assume the risk and responsibility of any loss or damage to its property or the property of UVU by any person engaged in activity being organized or promoted by those employers, regardless of how the loss or damage is sustained.

Student Traffic. Employers and their employees are not allowed to impede traffic in any concourse, hallway, or aisle. Recruiters are also not allowed to stop students and must be respectful of students and other organizations.

No Recruiting in Other Areas on Campus. Recruiters are NOT allowed to recruit in other areas of campus. All activity is to remain at your booth.

Questions. Please contact the Career & Internship Center Events & Marketing Manager, for approval or questions regarding your activities, display items, or any other issues relating to your booth.  Career & Internship Center leadership will provide the final determination of what is permissible at any event.

Professionalism

Terms of Employment. Before making an offer, the employer must fully disclose all terms and conditions about the employment opportunity.

Swag at Recruiting Fairs. You are welcome to provide swag items at your booth.

Illegal Substances. Alcoholic beverages, unlawful drugs, or other illegal substances may not be consumed, used, carried, or sold on any property or in any building owned, leased or rented by Utah Valley University.  (UVU Policy 157, & 324) Failure to adhere to this protocol will result in the permanent barring from all future recruiting fairs.

Weapons. Utah Valley University complies with state law regarding weapons on campus. Utah state law clearly states that a person may not possess a dangerous weapon, firearm, or sawed-off shot gun on school premises (Utah Code 76-10-505.5) except under certain conditions. One of these exceptions indicates that this criminal statute is not applicable if the person is authorized to possess a concealed firearm as provided by the Concealed Weapon Law. UVU abides by this law and accordingly allows concealed firearm permit holders to possess their concealed firearm on campus. Weapons are not to be displayed at recruiting fairs.

Animals. Subject to qualifications, exceptions and conditions outlined in UVU Policy 160, only the following animals are allowed on university property: service animals, emotional support animals, and those used in academic courses, law enforcement or rescue purposes. Please contact the Career & Internship Center before bringing an animal on campus.

Professionalism. We encourage all employers to dress and act in a professional manner, acting as an example to the students present at the fair.  We have an expectation that recruiters will be both professional and considerate of students and other recruiters. Professionalism includes addressing such issues as:

  • Public displays of affection
  • Throwing items
  • Swearing at or making disparaging remarks to or about students or others on campus.

Responsibility. Each member of your organization is responsible for the actions of other representatives from that organization. If someone else from your organization violates any of these protocols, you and your organization may forfeit the opportunity of attending future recruiting fair.

Product Sales. Facilities are scheduled solely for employee recruiting purposes.  No products or services of any kind may be promoted during any recruiting fair.

Shipping Materials

If you would like to ship materials to our office, we encourage overnight shipping at least five (5) days in advance in order to ensure on-time arrival. Addressing the shipment to the Career & Internship Center will help to ensure timely delivery to our office. Also, please bring the tracking number with you to the fair along with the carrier for your shipment.

Payment

Registration Prepayment. The Career & Internship Center requires pre-registration and prepayment for all events. Prepayment must be made at least fourteen (14) calendar days prior to each fair. The Career & Internship Center reserves the right to cancel your reservation if payment has not been received by that time. For your convenience, payments can be made through one of the following options:

  • Online Payment.  You are welcome to use our convenient online payment option (preferred) through Handshake. Simply:
    • Invoice Payment. Click on the "Pay Here" link at the bottom of your invoice; or
    • Event Payment. Click on the green "Pay Now" button on the left side of your Handshake registration.
  • Telephone Payment. We are also happy to take your payment by credit card. Please contact an authorized member of the Employer Relations Team, at 801.863.6364 to make your payment
  • Check. If you prefer, you can send a check to the address below. Your check must include the COMPLETE address provided below. Keep in mind your check must be received by our office (not just at UVU) at least fourteen (14) days prior to the fair. If you omit any information, there could be a significant delay in our office receiving the check.

Registration Cancellation. If you decide not to attend a fair, please let us know as quickly as possible so that we can cancel your registration and allow another organization to take advantage of the opportunity to participate. If your Cancellation Notice is received:

  • Fourteen (14) days or more prior to the fair, we will provide you with a full refund.
  • Between eight (8) and thirteen (13) days prior to the fair, we will issue a refund only if we are able to fill your booth.
  • Between one (1) and six (6) days prior to the fair, no refund will be provided.
  • If you cancel on the day of the fair or do not show up for the fair, you will not be eligible for a refund. You will also be required to make the payment (if you have not already done so) prior to registering for any future recruiting fairs.
  • For record-keeping purposes, if we receive your notice of cancellation at least fourteen (14) days prior to the fair, your payment will be refunded rather than transferred to another fair.

Other Events

We help companies connect with UVU students through an Information Session or a Lunch & Networking Event. Please be aware of the following information regarding these events.

  • These events are available on a limited basis based on your industry and date availability. You may be directed to another event depending on the situation.
  • We will help you select a date that does not conflict with other events,
  • Our team will also advertise your event across campus to appropriate majors and departments,

You are welcome to set up off-campus events yourself under “Events” on Handshake. However, we do not approve events that conflict with other Career & Internship Center sponsored events.

Event Setup

Schedule an Appointment. Please a member of the Employer Relations Team to schedule a 30-minute virtual appointment. Be sure to schedule as early as possible. Keep in mind that your meeting needs to be held at least five (5) weeks prior to the date you hope to hold your event. Earlier is better!

During that appointment, we will determine the date and time of your event. We will also discuss pertinent details and will answer your questions. NOTE: Keep in mind that once your date is confirmed, marketing will be prepared and sent out.

Post your Positions. Posting your positions on Handshake  will assist us in targeting the most appropriate students that would be the best fit for your needs. We also encourage you to post degree-related positions and internships available for all majors to reach the widest audience.

Marketing. As a reminder, we require at least four (4) weeks to properly market your event. This time frame allows us to accommodate holidays, breaks and other UVU events. We cannot guarantee the number of students who will attend but will do all we can to market your event. Participation in one of our Career & Internship Fairs and/or STEM Career & Internship Fairs prior to an event is a great opportunity to let students know you will be back on campus.

Interviews

You are welcome to conduct interviews on-campus or virtually. We have provided information below to assist you in setting up Interview Schedules and reserving an Interview Room.

Interview Schedules. Handshake offers the opportunity to set up an Interview Schedule which will allow students to submit resumes for consideration for your company.

  • You are welcome to request an Interview Schedule yourself on Handshake at any time. If you choose to request an Interview Schedule, please follow up with a member of the Events & Marketing Team, for confirmation that your date is available at UVU and to complete the set up.
  • Please allow at least four (4) weeks for any Interview Schedules. This allows us the time to reach students and ensure they have time to submit resumes.
  • Be prepared to provide the following information in setting up your Interview Schedules.
    • Type. Pre-Select, Pre-Select Continuous, Open or Room Only. These types are described for you below:
      Pre-Select Allows you to give students a deadline for submitting resumes. You will review candidates after the student deadline. Students you select will be notified that they are then able to choose an interview time slot.
      Pre-Select Continuous Still allows you to give students a deadline for submitting resumes. You will be able to review candidates as they submit resumes. Students you select will be notified that they are then able to choose an interview time slot.
      Open Allows any student to select an interview time slot as long as they meet the requirements indicated in your job posting. You will not review resumes and select students for interview.
      Room Only Students do not apply for interview slots, we just reserve a room for your use.
    • Dates. Interview date, student application deadline, employer resume review deadline.
    • Recruiters. How many recruiters will be on campus and the names of each recruiter.
    • Interview Length and Breaks. Please let us know how much time you would like for each interview, lunch break and breaks throughout the day.
    • Positions. Please be sure to post your positions and let us know which majors are most appropriate for those positions.

Interview Room Reservations. Feel free to contact us if you are interested in reserving an Interview Room. We prefer at least two (2) weeks’ notice, but if you need a last-minute interview room, contact us and we will be happy to assist you in reserving a room.

Virtual and Off-Campus Interviews. We are happy to set up Interview Schedules for you on Handshake, even if you plan to conduct your interviews virtually or even at an off-campus location. Be prepared to provide a Zoom or Teams link which will be added to the schedule.
