Individual and group file storage and sharing solutions are available for use by the University community. This page provides information about these solutions’ features and limitations, their recommended uses, and resources to help you use them effectively and efficiently.

Service Information

 

UVU File Storage is Required for UVU Documents

UVU storage platforms must be used by all University community members for official UVU business and academic documents. Storage or sharing of these files in unsupported platforms is not permitted.

SharePoint for Teams, OneDrive for Individuals
  • SharePoint is a collaborative cloud storage platform. This is where you should store documents on which you want to collaborate with your organization or team. These files belong to the department or team and will remain after employees leave the department.
  • OneDrive is for individual work storage. This is where you should store documents and files that you don’t want other people in your organization to access. These files will be removed when your UVU employment is terminated or you are no longer registered as a student. Employees: Don’t store department files here.
  • Both OneDrive and SharePoint offer storage in Microsoft’s cloud space, which means that your data is securely stored.
Storage of Sensitive Data

UVU classifies data and limits access to that data based on the type, purpose, and use. To support the confidentiality and data protection of sensitive information, those using this information in their files are required to store them according to the following chart:

  • If placed on OneDrive or SharePoint, files with sensitive/private or credit card/PCI data are automatically encrypted and labeled with sharing restrictions. When this happens, seek approval and correction instructions for mistaken data detection using the approval process below.
  • To get approval to store sensitive data, a request must be submitted with justification for access to the data and a data protection plan must be implemented.

Descriptions of each data type listed in the table above: 

  • CREDIT CARD / PCI includes any information related to a credit card charge or information about the card or cardholder.
  • SENSITIVE / PRIVATE includes any sensitive or restricted personal, financial, health, or other private information about individuals, or any proprietary information related to UVU.
  • UNRESTRICTED / PUBLIC includes any files that don’t contain any Credit Card/PCI or Sensitive/Private information.

Descriptions of the storage platforms listed in the table above: 

  • UVU File Storage includes SharePoint and OneDrive. Storing all data types here is preferred over other storage platforms.
  • UVU Computers & Drives includes built-in storage for UVU-owned computers, UVU-owned external storage and flash drives, and campus-based file storage solutions.
  • Personal Computers or Drives includes any device not owned by UVU, including mobile devices, personal home computers, etc.
File Storage Quotas

Standard storage quotas are specified for each user and organization based on the total storage available and the expected needs of each user or organization type.

  • Current standard quotas are as follows: [to be updated]
    • 25 TB per SharePoint Team (organization)
    • 2 TB per OneDrive User Account
  • To maintain adequate storage within quotas, backups and archives should not be stored in SharePoint or OneDrive.

Sharing Internally and Externally

Internal Sharing

  • Sharing with “People in Utah Valley University” includes every student and employee at UVU. Be careful!
  • With new AI tools and search engines built-in to Microsoft products, shared files can now be discovered, suggested, and displayed to users who you may not wish to have access.
  • Most internal groups already have Teams/SharePoint teams. This simplifies sharing and takes the hassle out of picking individuals from a list.

External Sharing

  • Sharing externally (outside of UVU) is a restricted feature that must be approved and enabled. You can request the ability to share externally by submitting a ticket with "External Sharing Request" in the description.
  • Sharing with "Anyone" gives anyone, anywhere, part of UVU or not, access to your files. Be careful!
  • It is recommended to set a maximum time limit for files to be accessible to external collaborators.

Cautions

Sharing permissions should always be customized to ensure only those who should have access, do.

Be especially careful with sharing anything containing student academic or other personal sensitive information.

Users should store all files created in the performance of their duties on UVU provided file storage platforms. These files are property of UVU and are subject to legally performed searches and all regulatory measures.

Cloud Storage with Offline Access

Users should not store files solely on their UVU issued computer, but should instead set up OneDrive and SharePoint locations for all UVU documents. These locations provide both online and offline access when configured appropriately. OneDrive and SharePoint provide revision history, are protected from failure/losses, and ensure the University has access to UVU intellectual property.

Choose the Right UVU File Storage Option

If you’re working on a file by yourself, save it to OneDrive. Your OneDrive files are private unless you specifically share them with others. If you’re collaborating as a team — in Microsoft Teams or SharePoint — you should save your files in SharePoint where your team works. Your SharePoint files are always shared with your team members without any additional configuration.

Use File Sharing Wisely

Extreme care should be taken in sharing files with others, both internal and external to UVU. Use SharePoint/Teams for internal sharing, by moving the file into the appropriate team and folder structure.

Users and departments should review file/folder access and sharing regularly (at least semi-annually) to ensure that only those who should have access, do.

Clean Up Your Files

Users and departments should regularly (at least semi-annually) review their documents, removing or archiving documents according to University-provided requirements, freeing up space within their quotas, and keeping a clean, efficient document workspace, free of clutter and distractions.

Avoid Duplication of Files

When files are duplicated (same file is both in OneDrive and Teams), identifying the “master” document becomes difficult. Avoid this by moving (upload then delete, rather than sharing or only copying) any file from OneDrive to SharePoint.

Users should store all files of a personal nature on non-UVU platforms. Use UVU storage for UVU files! UVU systems are subject to legally performed searches and all regulatory measures. These could unintentially compromise your privacy.

Frequently Asked Questions (FAQs)

What is the File Storage Strategy?

In recognition of the value of the documents and other files developed and maintained by UVU employees and students in fulfilling the UVU mission, the Digital Transformation (Dx) division follows these strategic principles in providing file storage for the University’s needs:

  • We will recommend storing all files of a personal nature on other systems not owned by UVU. All files created by UVU employees in the performance of their duties are property of UVU and must be stored on UVU provided file storage platforms. They are subject to legally performed searches and all regulatory measures.
  • We will implement, support, and maintain the University-wide file storage platforms to be used by all University community members for official UVU business and educational purposes.
  • We will objectively evaluate available file storage solutions every three years to select the best solution according to the following criteria:
    • Usability features
    • Storage capacity
    • Secure sharing features
    • Total cost of ownership
  • We will monitor and ensure appropriate usage of the University’s storage resources by setting standard storage quotas for each user and organization based on the total storage available and the expected needs of each user or organization type. Changes to storage quotas will be handled on a case-by-case basis, with non-standard quota increases paid for by the requesting organization.
  • Within the capabilities of the file storage solution in use, we will implement retention requirements as defined by 1) University Policy, USHE Policy, and State of Utah and other applicable regulations; 2) organization requests in consultation with OGC.
  • We will provide guidance for the safe and effective storage, sharing, and archiving of documents using the University’s file storage platform(s), including the regular (at least semi-annual) review of file and folder access and sharing.
  • When we determine that a file storage platform should be changed, we will provide support, training, and assistance in moving files between platforms, however responsibility lies with the organization and individual users who have custody of the files.

What university policies apply to UVU file storage and sharing?

How can I increase my OneDrive or SharePoint quota?

Storage capacity is limited. Users can get their quota increased by submitting this Request with justification for the increase.

Why was OneDrive chosen for individual file storage?

  • OneDrive is an easy-to-use, secure file storage solution that integrated with the everyday tools people already have on their desktops and mobile devices.
  • OneDrive integrates with File Explorer on Windows and Finder on Mac so you can view, open, share, and work with all your files directly from your desktop.
  • The OneDrive mobile app and web app give you access to your files on the go or wherever you may be.
  • OneDrive is also integrated into the University’s Teams collaboration platform providing access where you need it.
  • OneDrive is closely integrated with SharePoint and can be used as a personal workspace for individual users. It allows users to store, sync, and share files within their team, which can also be synced with the SharePoint libraries.

Why was SharePoint chosen for team/group file storage?

  • SharePoint is an easy-to-use, unified, secure file storage solution for UVU that also integrated with the familiar applications people already use every day.
  • SharePoint is fully integrated into Microsoft Teams, so it’s use is natural and comfortable for everyone at UVU.
  • SharePoint is designed for collaborative document management and team collaboration for files and folders.
  • In SharePoint, you can create document libraries to organize, share files, and set permissions to control who can access, edit, or manage them.
  • The native Teams and OneDrive integration provides anywhere access to SharePoint files for all UVU users.
  • Integration possibilities with SharePoint allow unlimited flexibility to protect UVU data, support simplified workflows, and create solutions for the entire University or for small workgroups as needed.

What other file storage solutions am I allowed to use for UVU Business?

The following potential exceptions require approval. To request approval, submit a request with "File Platform Exception Request" in the description, and include justification before any UVU documents are placed within the solutions:

  • Software as a Service (SaaS) applications often require storage of documents that only the application can read to be stored in their cloud-based file system. (ex. Lucid)
  • Box and Dropbox use for most UVU users is discontinued. In situations where collaboration with other organizations requires use of that organization’s storage licensing, a personal Box or Dropbox account for the UVU user should be used. When conducting UVU business, the personal Box or Dropbox account should be licensed (free or paid by the University department) with the official UVU email address of the user.
  • Other file storage or sharing solutions are not supported by UVU and are therefore not allowed to be used for UVU business documents.

Does UVU provide support for personal cloud storage options?

UVU does not provide support for personal cloud storage services. This includes personal Google account, personal OneDrive account, personal DropBox account, personal Amazon Photos account, personal Box account, or any other personal (not officially approved platform, and/or using a personal email address for account credentials) file sharing services. Personal cloud or other storage platforms are not authorized for use with UVU documents.

How will the UVU OneDrive accounts conflict with existing personal OneDrive accounts?

Personal OneDrive accounts are not affected by your UVU OneDrive account, which is separate and managed through the university.

How do I get an account?

All faculty, staff, and students are all automatically provided accounts with OneDrive and SharePoint access. If you have a [email protected] sign-in credential, you should be able to seamlessly access your OneDrive and SharePoint account.

Do SharePoint and OneDrive have revision history features?

Yes, see the documentation for SharePoint or OneDrive to get specific instructions for working with revision history.

Can I use UVU’s OneDrive for my personal files (taxes, letters, pictures, etc.)?

  • While storage of personal files on UVU storage is not firmly prohibited, it is not a good idea. All documents stored on UVU systems are discoverable and may be part of a public records request. For your personal privacy and security, please use your own personal file storage platform.
  • Personal files will also use space from your quota, reducing space available for work-related individual documents.
