The dates listed below are the general timeline for scheduling for on-campus groups and communities hosting events at UVU. Events can be requested and submitted through 25Live for the upcoming school year.
Events can be scheduled any weekday except for Sundays and all posted holidays. Our services cannot be offered when campus is closed. There are no exceptions.
No events can be scheduled in academic spaces during the first three weeks of the semester and during final exam weeks at the end of the semester.

Priority scheduling for on-campus groups will be completed prior to the dates being released to the public that are listed above. Please see the Employee Internet Event Services page for more information.
Both priority calendars are completed in May for the following August-May school year. They are then given to the Event Services Office to begin priority scheduling from May -July every year.
The Student Development and Wellbeing calendar grants priority over the SC and SL spaces, and the Academic Priority Calendar grants priority over all other Event Spaces on Campus. (WSB has priority of the Keller Building, and the School of Arts has priority in the Noorda Center).
Co-sponsored events are events involving a formal partnership between a university department and an external group the university maintains a relationship with that directly benefits the university community. Co-sponsored events are planned and hosted by the external entity with involvement from the campus group and Event Services.
When you are holding a co-sponsored event, you as the university group are responsible for following Event Services requirements as specified by the service providers. You are also responsible for informing Event Services on which service providers you will be using for the event.
The UVU sponsoring entity must submit the event request in 25Live for formal scheduling. All details of the event must be provided in a timely manner to alert appropriate service providers and gain approval.
All details must be communicated through the sponsoring UVU group and vetted before sending to Event Services. Event Services will not be the main contact for the external group. The campus group is responsible for all communication and final decisions pertaining to the event. All event details are reviewed by the Event Services coordinator, who will relay information to campus service providers as needed. The event request will be confirmed once all event details are approved.
Your coordinator will provide an invoice for all charges (minus catering, if applicable) after the event directly to the sponsoring UVU group. It is the campus group’s responsibility to relay part or all of the fees to the external group, depending on what was agreed upon.
When working with service providers on campus, please alert your assigned coordinator to assist with following the proper request and approval process.
