UVU CET Travel Guidelines

All Travel

Expectation: Students who are planning to participate in a university-sponsored travel program must be in good academic standing.

Rationale: Requirement of Policy 251 Traveling on University Business section 4.2.9

Expectation: A university faculty and/or staff member shall not share a lodging room with a student or students when traveling for official university business or activities, except under limited circumstances and with prior written approval for an exception.

Expectation:  Students cannot be required to travel as part of their coursework if it was not made known to them upon registration for the course.

Rationale:  Students have a right to know if there are expectations for the course outside of regularly scheduled times and locations. This is commonly done in the course catalog description. See, for example, GEO 2500 Introduction to Field Geology.  As a requirement of Policy 601 Classroom Instruction and Management, faculty members are expected to meet their regularly scheduled classes [time and location].

Expectation: Students traveling as part of a study abroad group or other for-credit, university-sponsored student group shall not be permitted to have personal guests accompany them (unless both are registered students, and both have applied and been accepted into the same travel program).

Rationale: Requirement of Policy 251 Traveling on University Business section 4.2.8

Expectation: Part time employees and/or adjunct faculty are generally not allowed to travel, rarely if ever allowed on overnight travel, and never allowed on international travel.

Rationale:  Any traveling non-exempt full-time or part-time employees must be compensated in accordance with UVU Policy 325 FLSA Compliance: Exempt/Nonexempt Classifications, Wages, and Work Hours. This means that you will be paying that individual for all the time in which they are travelling which will be very expensive and likely will run you into issues of employees going over hours. The rate per hour for adjuncts in this case is over $50 an hour.

Expectation: When at all possible, travel should occur outside of when normally scheduled classes are occurring.

Rationale: the student very likely has other classes that will be impacted, and it cannot be an expectation of the student or the person arranging travel that other faculty accommodate them and make changes to due dates or course expectations. Students must accept responsibility and the repercussions the trip to any other academic classes.

Expectation: Travelers who violate university policy shall be subject to immediate disciplinary action, including but not limited to warnings, restricted or limited participation in travel activities, revocation of approved travel status, and/or mandatory return to campus. Travelers who must return before their originally scheduled departure may be required to reimburse the University in full for the costs and fees associated with their return.

International Travel

Expectation: University employees must register with and obtain travel clearance through or from Office for Global Engagement (GEO) for themselves and any additional travelers (undergraduate and graduate students, accompanying adults and minors, etc.) before travel.

Expectation: All international travelers, including any accompanying adults and/or minors, must enroll in UVU’s currently approved travel insurance plan

Expectation: Absent exceptional circumstances approved by the program director, students shall not be permitted to drive any motorized vehicle while participating in university-sponsored international travel programs, regardless of whether the student is familiar with the area or the local driving laws and customs.

Expectation: Students are not permitted to travel internationally on their own for UVU or CET unless it is a very exceptional representational situation, such as presenting at an international conference that was previously approved by the department chair, CET dean's office, and the international office.

Rationale: This expectation prioritizes cost, safety, academic focus, and institutional integrity. By restricting unsupervised international travel to exceptional cases, the institution protects students from unforeseen risks, such as health, safety, and legal issues, while managing costs. For approved exceptions, such as presenting at a conference, requiring prior approval from the department chair, dean's office, and international office ensures the travel aligns with academic and financial goals, reflects positively on the institution, and contributes meaningfully to the student's academic growth in ways that could not otherwise be achieved.
