What Should I Do If I Need to Withdraw After Receiving Financial Aid?

If you are considering withdrawing from the university, you are strongly encouraged to meet with a Financial Aid and Scholarships Counselor first to determine how your aid eligibility may be affected. You earn the financial aid you have been awarded as you attend classes during the semester.

If you have been awarded financial aid and begin attending classes but then change your enrollment or fail to attend class for the semester, the UVU Financial Aid and Scholarships Office is required to recalculate the financial aid you are eligible for based on your adjusted enrollment. Depending on when you withdraw, you may owe money back to UVU.

Return of Title IV Policy (R2T4)

Federal Regulations require that a student’s eligibility for aid be recalculated whenever a student withdraws from the university, whether officially, unofficially, or if they receive no credit in a course (an NC grade).

How Aid is Earned

  • Aid Posting: Aid is posted to your account at the start of each semester. However, you earn these funds as you complete the period.
  • Pro Rata Basis: If you withdraw, the amount of Title IV program assistance you've earned is determined by a specific formula on a pro rata basis.
    • Example: If you complete 30% of the semester, you earn 30% of the assistance originally scheduled to receive.
    • After 60% Completion: Once you have completed more than 60% of the semester, you earn all the assistance scheduled for that period.

Withdrawal and Proof of Attendance

  • Proof of Attendance: When you withdraw, the Financial Aid and Scholarships Office will attempt to obtain proof that you began attendance in an academically related activity (e.g., participation in class, submitting an assignment, or taking a quiz or test).
  • Official Withdrawal Date: If proof is received, the official withdrawal date will be the one recorded by the Registrar’s Office.
  • Grades and Last Date of Attendance:
    • NC, UW, E Grades: If you receive an NC, UW, or E grade, your professor must submit a last date of attendance.
    • Unearned E Grades: If the last date of attendance for an E grade is before the last day of class, it may be considered unearned (unofficially withdrawn) and subject to recalculation of federal aid.
    • Determination of Withdrawal Date: This is based on the last date of attendance entered by the instructor or confirmed by academic activity in your Canvas record.

Repayment of Aid

  • Recalculation and Responsibility: If the amount of aid disbursed is greater than the amount earned, recalculation is required. The responsibility for returning aid is split between the University and the student:
    • Institutional Costs: The university returns the unearned portion applied toward institutional costs.
    • Student's Responsibility: The student returns the remainder.
  • Notification: The Financial Aid and Scholarships Office will send written notification of the amount returned to the student’s address on file.
  • Loan Repayment: Any amount to be returned to a loan program may be repaid according to the promissory note.
  • Billing: You may be billed for any aid applied toward institutional costs but was returned by the institution due to your withdrawal.
  • Timeline: The institution must return Title IV funds within 45 days after determining that you withdrew.

Order of Fund Return

Funds must be returned to the programs in the following order:

  1. Unsubsidized Direct Loans
  2. Subsidized Direct Loans
  3. Direct PLUS Loans
  4. Federal Pell Grant
  5. Iraq and Afghanistan Service Grant
  6. Federal Supplemental Education Opportunity Grant (FSEOG)

If an R2T4 calculation results in funds to be returned, UVU will repay all funds to the Department of Education, and you will owe a balance to UVU.

Credit Balance Refund

  • Refund Timeline: Any credit balance remaining on your account will be refunded within 1-3 business days.

Impact on Satisfactory Academic Progress (SAP)

  • Grades of I, W, NC: These grades will not affect your GPA but will be included in your attempted credit hours and will negatively impact your Completion Rate and Maximum Timeframe SAP standard.
  • Grades of E, UW: These grades will negatively impact your GPA, Completion Rate, and Maximum Timeframe SAP standard.

Post-Withdrawal Disbursements

If you did not receive your federal aid prior to withdrawing, you may still be eligible for a post-withdrawal disbursement.

Eligibility and Notification

  • Letter of Explanation: The Financial Aid and Scholarships Office will send you a letter detailing any requirements and documentation needed to receive the funds.
  • Response Timeframe: You have 14 days after withdrawing to notify the Financial Aid and Scholarships Office if you wish to be considered for a post-withdrawal disbursement.
  • Option to Decline: You may choose to decline some or all of the funds.

Disbursement Timeline

  • Federal Grants: Disbursed within 45 days.
  • Loans: Offered to the student within 30 days.

Application of Funds

  • Student Account: All post-withdrawal disbursements are first applied to the student's account.
  • Credit Balance Refund: Generally, any remaining credit balance on your account will be refunded within 1-3 business days.

Response and Disbursement

  • Federal Pell Grant: If you do not respond within the 14-day period and have completed all requirements, the amount of Federal Pell Grant you earned will be disbursed automatically.
  • Loans: Loans can only be disbursed with your written consent.

Examples of a Return of Title IV Calculation

Example 1

Student receives Full Pell Grant and Full Sub/Unsub loans as a junior/senior- $6,848 in total aid received.

Student is a resident paying full time tuition of $2,910.

If the student withdraws three weeks into the semester, the amount of aid to be returned is $5,546 (approx. 19% of the semester completed). Because the student earned 19%, they can keep $1,302.

Example 2

Student receives Full Pell Grant and Full Sub/Unsub loans as a junior/senior- $6,848 in total aid received.

Student is a resident paying full time tuition of $2,910.

If the student withdraws two months into the semester (approx. 48% of the semester completed), the amount of aid to be returned would be $3,560. Because the student earned 48%, they can keep $3,288.
